Venus Accounts: How do I add or create a user in Venus Control Suite?

A remotely hosted Venus® Control Suite user is identified by a unique email address that serves as the username. A locally hosted Venus® Control Suite username does not require an email address. New user menu access is provided by the account administrator.

Environment

  • Product: Venus BasicVenus Select, Venus Professional, Venus Enterprise
  • Components: Venus Pro Ad Grid, Venus Pro Playlist
  • Control System: Venus Cloud-Based

🛠️Administrators have access to add additional users. The Administrator is responsible for providing login information to newly created users.

Steps

Determine the appropriate user role via the following options.

🔽Use the arrows to open or collapse the following sections: 

General breakdown of user rights and roles. Administrator: Full access to all features and functionality of this account.  Able to create and modify user accounts. 
  • This role would be ideal for a display owner, manager, or IT manager.

Standard: Access to all day-to-day operations, content and schedule creation, reporting and diagnostics for this account. 

  • This role would be ideal for an assistant manager or secretary, or office manager

Basic: Access is limited to creating content but not scheduling, ability to run reports. 

  • Examples of this role would be designer or student.

Adding the user

To add or edit users for accounts using SSO, please coordinate with your company’s IT department.

How to Add a New User to Your Venus Account 

  1. Open the Accounts App from the Launchpad or My Apps menu. 

  1. Click the "Add New" button. 

  1. Enter the user’s email address. 

  1. Select the Venus account (if you manage multiple). 

  1. Choose the role for the new user: 

    1. Admin: Full access including user management 

    2. Standard: Content and scheduling access 

    3. Basic: Content only access (no scheduling) 

  1. Enter the user’s first and last name. 

  1. Click Send Invite. 

The new user will receive an email invitation. Upon accepting it, they’ll be prompted to: 

  • Confirm their email address 

  • Set a password 

 

MFA Setup Options for New Users 

During enrollment, users will be prompted to choose a method for MFA. Options include: 

  • Authenticator App (Recommended): 

    • Apps like Google Authenticator or Authy (available for mobile or browser). 

    • Browser-based options are available if users do not have a smartphone. 

  • Text Message (SMS): 

    • Users can receive a 6-digit code via text in supported countries. 

  • Voice Call: 

    • If a user only has a landline, they can choose Voice Call during MFA setup to receive their code via phone call. 

    • This option is also available at login under “Get a call” instead of SMS. 

These flexible options ensure all users can complete MFA, even without a cell phone or mobile app. 

 

How to Remove a User 

  1. In the Accounts App, find the user in your list. 

  1. Click their name. 

  1. Select the trash can icon and confirm the action. 

    1. You can “Lock Account” or “Force Password Change 

 

How to Resend a User Invitation 

  • Pending invitations will appear at the top of your user list. 

  • Click “Resend” next to the user’s name if they haven't received or acted on the invite. 

 

Troubleshooting 

  • Didn’t receive invite? Ask the user to check their junk/spam folder. 

  • SMS not working during MFA setup? The Authenticator App is recommended and works worldwide. 

  • Error while adding user? Ensure the email address is not already linked to another Venus account.
