Venus Control Suite Data Studio: How do I create a custom list, from a spreadsheet, that I can put on my display?

This article explains how to create a Custom List in Data Studio using a spreadsheet as the data source. Custom Lists allow spreadsheet data to automatically populate and update on a display without manually editing the presentation.

Common use cases for spreadsheet-based custom lists include:

    • Birthdays
    • Welcome groups
    • Game schedules

This workflow uses Google Sheets or Microsoft Excel as the data source and connects the spreadsheet to a Custom List within a Web Presentation. Updates made to the spreadsheet will automatically reflect on the display once connected.

  • Product Family: Venus Professional, Venus Enterprise, Venus Live
  • Product: Data Studio

Steps

Creating the Spreadsheet

Create a spreadsheet to organize the data you want to display on the Custom List. 

If using Microsoft Excel:

  1. Enter the data you want to display.
  2. Select the rows and columns you want to include.
  3. Convert the selected data into a Table.

💡Only data included within the Table will be available for use in Data Studio.

If using Google Sheets:

  1. Enter the data you want to display.
  2. Select the rows and columns you want to include.
  3. Create a Named Range for the selected data.

💡Only data included within the Named Range will be available for use in Data Studio.

⚠️Important

  • A single spreadsheet can contain multiple Tables (Excel) or Named Ranges (Google Sheets) if different data sets are needed for separate Custom Lists.
  • If a Table (Microsoft Excel) or Named Range (Google Sheets) is not created, the Custom List will not populate correctly.

 

Below are screenshots of common use cases.

  • It's recommended to use a separate tab for each subject.

Birthdays

    • Individuals are listed row by row, while the columns may vary based on the information that needs to be displayed.

Welcome groups 

    • Each group is placed on a separate row, with columns designated to include specific details pertaining to each group.

Games 

    • This example offers data on forthcoming games.  Games are listed row by row, and columns can be used to show further details for each game.

Connect the Spreadsheet to Data Studio

Once the source is connected, ensure it is configured to match your data sheet specifications.

  • If the items are listed in rows, the Output By should be set to Row.
  • It is advised to include headers.
