Venus Control Suite: Set up and use Multi-Account Access
Topic
Multi-Account Access allows authorized users, such as sign companies, creative providers, consultants, or service partners, to manage multiple customer accounts with one secure email login.
This enhancement removes the need for shared spreadsheets or multiple non-email usernames and supports Daktronics’ security transition to Multi-Factor Authentication (MFA).
Use cases include:
- Sign companies managing displays for multiple customers
- Support partners assisting several facilities
- Creative providers scheduling or managing content across multiple accounts
Environment
Product Family: Venus Control Suite (applies to all packages: Venus Basic, Select, Professional, Enterprise, Connect, Live)
Product: Account Management
Component: Accounts App, User Management, Multi-Factor Authentication
Control System: Venus Control Suite (VCS) – Cloud Hosted
Steps
Before you begin
- Ensure all participating accounts have Multi-Factor Authentication (MFA) enabled.
- The initial account a user is invited to, and subsequently accepts, will be designated as their base account.
- For sign companies, this should be their own account, not a customer’s account.
- The user must accept each invitation before access is granted to that account.
- Permissions (Administrator, Standard User, Basic User) are assigned per account and may differ between accounts.
Invite a sign company or partner
- Log in to Venus Control Suite at https://venus.daktronics.com.
- Navigate to the Accounts app.
- Click Invite User.
- Complete the required fields: See Venus Accounts: How do I add or create a user in Venus Control Suite? for detailed steps.
- If the email already exists in Venus Control Suite, it will automatically recognize the user as an eligible guest once invited.
- The invited user will receive an email invitation to accept and activate access using MFA.
Switch between accounts (for invited users)
- Log in to Venus Control Suite at https://venus.daktronics.com.
- Select your Profile icon (upper right corner)
.
- Choose Switch Accounts.
-
Select the account you want to open.
- Venus Control Suite refreshes to display the selected account’s content, permissions, and dashboard.
- The guest account gains all features of the parent except access to account management options. This allows the guest account to use all benefits of the parent account without needing the same level of subscription.
- Once finished using the parent account, click the X in the upper right corner to exit and return to the original account.
Remove access (for customers or administrators)
- In the Accounts App, in the Users tab, locate the guest user you want to remove.
- Complete the steps in Venus Accounts: How do I remove or delete a user from Venus Control Suite to Remove a User.
- This revokes access to the selected account immediately.
- The user may still have access to other accounts they’ve been invited to.
Additional information
- Each customer defines the access level for invited users (Administrator, Standard, Basic).
- Permissions are specific to each account and not inherited from the user’s base account.
- Invited users display as Guests in the Users list of the account that invited them.
- Each user can be invited to multiple accounts.
- The first account that invites a user becomes that user’s base account.
- If the base account is deleted, the user may lose access to all linked accounts.
- Daktronics recommends sign companies maintain their own dedicated base account.
- Using one email login with MFA strengthens security and eliminates the need for multiple usernames.
- Multi-Account Access does not create a parent/child hierarchy, each account remains independent; users must switch into the account they wish to manage.
