Venus Control Suite Media Library: How to Use File Replacement

Available only with Venus Control Suite Select or higher packages.

Use the Media Library File Replacement tool to replace any existing media file. If the file is being used in a Playlist or Web Presentation, Venus Control Suite automatically updates those locations without requiring manual edits.

Steps

Access Media Library
  1. Log in to Venus Control Suite at https://venus.daktronics.com.
  2. Navigate to the Web Editor App.

  1. Click on Media Library in the left-hand menu.

 

Confirm if the Media is In Use
  1. Select the media item you want to replace.
  2. Check whether the selected media displays an In Use label 

  

    • A file does not need to be in use to be replaced. 
    • If it is in use, the replacement automatically updates every Playlist or Web Presentation where it appears.
  2. In the slide-in panel, review the In Use Details to identify any locations where the media is currently being used (Playlists or Web Presentations).

  1. If the file has been replaced before, you will see a Replacement History section showing the most recent replacement events.

 

      File Replacement
      1. In the slide-in panel, click Replace Media to launch the File Replacement wizard.

       

      1. Select New File. Drag and drop your replacement media file, or click Choose File to browse for it.

      1. Click Next.
      2. Compare the original (old) and replacement (new) file details.

      💡Tip: Ensure the replacement file matches the dimensions or aspect ratio of the original media for best display performance.

      1. Click Next.
      2. (Optional) Rename the new file. 
        • If you do not rename it, the replacement file automatically takes on the name of the original file.
      3. Click Next.
      4. Confirm Replacement
        • Any Playlists and Web Presentations using the old file will be updated to use the new file.  
      5. Click Upload to complete replacement.  
      Additional Information
      • Any media file can be replaced, even if it is not currently in use.
      • Uploading a file with the same name does not replace an existing media file. Replacement only occurs when using the Replace Media option.
      • There is no undo option for file replacement. To revert, re-upload the previous version and repeat the replacement steps.
