Receiving a maximum entry error when trying to create a new playlist or add presentations to an existing playlist

Potential Symptoms

  • Receiving a maximum entry error when trying to create a new playlist or add presentations to an existing playlist.
    • The maximum limit of entries in the schedule (200) will be exceeded. Remove messages from playlists or use a recurrence pattern if the event is for multiple days before clicking ok.
    • The paste operation can not be performed because the maximum limit of entries in the schedule will be exceeded.  Please remove [#] entries before adding any more.

Cause

  • The software has reached the 200 entry maximum for presentations allotted within playlists. When you open a playlist, each playlist can contain single or multiple presentations. You cannot have more then 200 presentations total within all your playlists.
    • For example, if you have 10 playlists with 20 presentations listed that is a total of 200 presentations. Each presentation listed is considered 1 entry, even if it is a duplicate message added within the single or multiple playlist.

Resolution

  • Do not use more then 200 presentations within your playlists.

Work Around

  • Sometimes clearing out expired playlists will allow for additional presentations to be added to playlist depending on the software version. Some older software versions counted the expired playlist into the total entries. Where as later versions of Venus 1500 v4 (v4.9 and newer) no longer count expired playlists.

Suggestion 1: Update Venus 1500 v4 to the latest version.

 Suggestion 2: Remove/delete expired playlist containing presentations.
  1. Launch Venus 1500 v4.
  2. Click Schedule Tab.
  3. Click View -> Details View.
  4. Browse and select any playlists that show an expired date and click Remove.
    • Details View is only available from version 4.4 and newer. Older versions need to use calendars on left site to browse to past dates to delete playlists.

Suggestion 3:  Try combining messages.  Venus will only count the presentation used in each playlist, not the number of layouts within a presentation.

  1. Open each presentation to be combined in Content Studio.
  2. Select the Layout Storyboard tab if not already selected.
  3. To copy layouts:
    1. Hold down [Ctrl] key and single click on each layout to select the layouts.
    2. Click the Copy Layout button.
  4. Then open the other presentation you want to paste the layouts to in Content Studio.
  5. Select the Layout Storyboard tab if not already selected.
  6. To paste layouts:
    1. Select Paste Layout button to paste layouts into another message.
    2. This will then paste all layouts from the previous presentation to the 2nd presentation.
