Benefits of tagging

  • Tags makes content searchable by a specific word.  This word is the tag that would relate to the content.
  • Users can organize content by using one tag for similar content, such as a tag labeled "Christmas."  The user can then associate all of their Christmas content with a single tag.  Users are not restricted to a certain number of tags either.  For example, a Coke ad with Santa can be tagged with both "Christmas" and "Coke."  Other examples may include:
    • Holidays
    • Seasonal
    • Breakfast
    • Lunch
    • Dinner
    • Supper
    • Specials
  • Tagging allows users to include all associated files with a tag, so folders become obsolete.  Using the tagging feature ensures accuracy when organizing content and helps eliminate unorganized content.
  • The user decides what words to use as tags.  Being able to create your own tags allows you to organize your own media library.
  • New tags are to be created and applied when desired content is uploaded. Venus Control Suite doesn't allow users to create tags prior to uploading content. 

Environment

Steps

Navigate to the Media Library. 

  1. Log into Venus Control Suite.
  2. Go to the Scheduling App.
  3. Select the Media icon from the left side menu.

Add/create a tag in Venus Control Suite when Uploading Media.

  1. In the Media Library, Click the Add New button.
  2. Select Upload Files from the dropdown.
  3. Drop files in the Upload Media window navigate to the files.   
  4. In the Tags field where it says Add new tag, type in the word(s) that you want to use as a tag(s).  This will apply the tag to all Media Files that you uploaded. 
    • You can also click on existing tags to apply them to the Media files you uploaded.
  5. Click the blue plus ➕ button to add. 
  6. Click Done.

  1. In the Media Library, put checkmark(s) next to the file(s) that you want to add tag(s) to.
  2. Click on the Tag and Associate Selected Items button.
    1. In the Tags field where it says Add new tag, type in the word that you want to use as a tag.  This will apply the tag to all Media Files that you check marked.
      • You can also click on existing tags to apply them to the Media files you uploaded.
    2. Click the blue plus [+] button.
    3. Repeat steps 5-6 to add additional tags if necessary.
  3. Click Save.

Add/create a tag in the Media File Preview window in Venus Control Suite.

  1. In the Media Library, click on the thumbnail of the file that you want to add tag(s) to.
  2. In the Preview window in the Tags field where it says Add new tag, type in the word that you want to use as a tag.  This will only apply the tag to that single/individual file.
    • You can also click on existing tags to apply them to the Media files you uploaded.
  3. Click the blue plus [+] button.
  4. Repeat steps 4-5 to add additional tags if necessary.
  5. Click Save.

Delete/remove a tag from media items.

  1. From the Media Library, click on the Media File that the tag has been applied to.
  2. In the Preview window click the tag(s) that you want to remove.  The tag(s) will change color from blue to white.
  3. Click Save.
  4. Repeat steps 3-5 to remove the tag(s) from any additional Media Files that the tag has been applied to.
  5. Once the tag has been removed from all Media Files it will be deleted/go away/no longer show up/appear.

Remove the tag.

  1. Set the media filter to show all items with that tag.  
  2. Follow the above process to remove the tag from all media utilizing that tag.  
👉 If no media items are using the tag, the tag disappears.  

Tagging considerations

  • Tags cannot be edited or changed.
  • Make sure all tags are spelled correctly.
  • Try to avoid using synonyms.  Check to be sure you do not have a tag with an identical meaning before creating an additional tag.
  • Make sure tags are informative and clear.
  • Tags should have less than 25 characters and can contain both letters and numbers.  If you prefer, you can use special characters, as long as you do not use any of the following: < ? : | \ " / * > .
